TOWN OF MANCHESTER
POLICY FOR AWARDING TOWN DAYS
AT MANCHESTER COUNTRY CLUB

The lease between the Town and the Manchester Country Club permits the Town to use the golf course for three days per year without paying greens fee charges. The days will be awarded by the General Manager or his designee in accordance with the following procedure:

A. Town Government including the Board of Education shall have the right to use any or all of the three days.

B. Any remaining days will be awarded based on the following priorities:

Priority 1 - The Mayor’s Tournament and local non profit organizations authorized to receive Town
support.

Priority 2 - All other local non profit organizations.

C. In order to be eligible, a local non profit organization must meet the following criteria:

1. The organization must be a Manchester based nonprofit organization.

2. The organization must use the proceeds of the tournament to benefit Manchester residents.

3. The organization must demonstrate the ability to organize, supervise and promote a golf tournament. The organization must show evidence that they have the ability to recruit 25 foursomes and to raise a minimum of $20,000 in net revenue. (If a Town day is awarded and the above mentioned requirements are not met, disqualification for future bookings may result.)

4. The organization must have a dinner following the tournament using the Manchester Country Club’s banquet facility.

5. Once awarded a Town day, the organization will be required to submit periodic progress reports to the Recreation Department. The schedule for reporting will be designated by the Recreation Department.

D. The selection process for organizations identified in Item B will be as follows:

If days are available, a lottery will be held in May 2007 to determine which organizations will be awarded the 2009 dates. A lottery will be held in May annually thereafter to award the next year’s dates (example May 2008 for 2010, May 2009 for 2011, etc.)

The first lottery selection each year will be for Priority 1 organizations only, with one day being awarded. If days remain, Priority 1 organizations not selected in the first lottery will be placed in the second lottery with all Priority 2 organizations. Organizations will then be randomly chosen until all days are awarded.

Once an organization is awarded a day, they will be ineligible to receive a day in the two years immediately following their award year unless there is a shortage of qualified applicants.
